Privacy Policy
Effective October 22, 2026
Mastera Works is a trade name of Mastera Ventures LLC, an independent technology advisory practice based in Chandler, Arizona (“Mastera Works,” “we,” “us”). This policy explains what personal information we collect through our website, surveys, and client work, how we use it, and the choices you have.
The short version
- We do not sell your personal information, and we do not share it for targeted advertising.
- Our website uses no advertising or analytics trackers.
- We may record and transcribe video calls, and we tell you before we do. You can ask us not to record.
- We send marketing emails only if you’ve agreed to receive them, and you can unsubscribe at any time.
- You can ask to see, correct, or delete your information by emailing jeff@mastera.works.
1. Information we collect
Information you give us
- Inquiries. When you use our contact form, email, call, or message us, we receive your name, email address, and any company, phone number, and message you include.
- Client work. During an engagement, you may share business information, documents, system details, and contact information for your staff or vendors so we can provide advice and services.
- Billing. We keep billing contact details and invoice records. Card and bank details are entered directly with our payment processor, Stripe; we don’t receive or store full payment card numbers.
- Surveys. If you take one of our surveys, we collect your answers as described on that survey’s page. For example, our SWNC AI survey explains exactly what it collects.
Calls and meetings
If we record a call, we collect the audio and video, a transcript, and notes or summaries produced from it. See Call recordings and transcripts.
Information collected automatically
- Our hosting provider, Cloudflare, processes technical information such as your IP address, browser type, and the pages you request, so it can deliver the site and protect it from abuse.
- Our homepage loads fonts and styling files from content delivery networks (including Google Fonts). Those providers receive your IP address and browser information when your browser downloads the files.
- We do not use advertising cookies, analytics trackers, or tracking pixels on our website.
2. How we use it
- To reply to inquiries and schedule conversations.
- To provide our services, including advice, notes, recommendations, and deliverables.
- To keep accurate records of our client relationships and the work we’ve done.
- To send invoices and manage payments.
- To plan educational content, using survey results in aggregate.
- To send news or marketing emails, but only if you’ve agreed to receive them.
- To keep our website and systems secure, prevent abuse, and meet legal, tax, and accounting obligations.
3. Call recordings and transcripts
We may record virtual calls and meetings (audio and video) and create transcripts and summaries so we can keep accurate notes, prepare deliverables, and follow up on what we discussed.
- Notice. We tell you before recording, in the meeting invitation, at the start of the call, or both. Your video conferencing app may also show that recording is on.
- Your choice. You can ask us not to record a call, or to stop recording at any point. We’ll take written notes instead.
- Other attendees. If you invite others to a call, please let them know it may be recorded.
- Who has access. Recordings and transcripts are treated as confidential client information. They are processed by our video conferencing and transcription providers on our behalf and are not shared with anyone else unless you ask us to or the law requires it.
- How long we keep them. We keep recordings only as long as we need them to produce notes and deliverables, generally no longer than 90 days, unless you ask us to keep them longer or we’re legally required to. Transcripts and notes are kept with our engagement records (see How long we keep it).
4. AI tools
We use AI tools in our work, for example to transcribe calls, summarize notes, and help draft documents. When we do:
- We use providers under business terms and choose settings that keep your content from being used to train their models wherever that option exists.
- We review AI-assisted work before relying on it or sharing it with you.
- We don’t put confidential client information into AI tools that lack appropriate data-handling terms.
If you’d prefer we not use AI tools with your information, tell us and we’ll work without them.
5. How we share it
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share personal information only:
- With service providers that help us run our business, under terms that limit their use of the information. These include Cloudflare (website hosting and data storage), Resend (email delivery), Slack (internal notifications), Stripe (invoicing and payments), GoHighLevel (social media and, with your consent, email marketing), and our video conferencing, transcription, file storage, and productivity providers.
- As you direct, for example when you ask us to coordinate with your IT provider or a vendor.
- With professional advisers such as our accountants and attorneys, who are bound by confidentiality.
- For legal reasons, when required by law or to protect our rights, our clients, or others.
- In a business transfer, if Mastera Works is reorganized, merged, or sold, subject to this policy.
6. Cookies and tracking
We don’t set cookies on our public website. Our hosting provider, Cloudflare, may set a strictly necessary security cookie to protect the site from bots and abuse. The only cookie we set ourselves is a sign-in cookie for our own administrative area, which visitors never receive. Our surveys keep your in-progress answers in your browser tab (not in a cookie) so a reload doesn’t lose your place; closing the tab clears them.
7. How long we keep it
- Inquiries and relationship records: while we’re in contact or working together, and for up to three years after our last contact, unless you ask us to delete them sooner.
- Engagement records, transcripts, and notes: for the length of the engagement and up to three years afterward, so we can answer follow-up questions and support you.
- Call recordings: generally no longer than 90 days (see section 3).
- Billing records: as long as tax and accounting rules require, typically seven years.
- Survey responses: as described on each survey’s page.
8. Your choices and rights
- Access, correction, and deletion. You can ask for a copy of your personal information, ask us to correct it, or ask us to delete it, subject to records we must keep by law.
- Marketing. You can unsubscribe from marketing emails at any time using the link in any message, or by emailing us.
- Recordings and AI. You can ask us not to record calls or not to use AI tools with your information.
- State privacy rights. Depending on where you live, you may have additional rights under state law. We honor these requests for everyone, and we won’t treat you differently for making one.
To make a request, email jeff@mastera.works. We may need to confirm your identity, and we’ll respond within 45 days.
9. Security
We use reasonable administrative, technical, and physical safeguards to protect personal information, including encrypted connections, access controls, and reputable service providers. No method of transmission or storage is completely secure, so we can’t guarantee absolute security.
10. Children
Our website and services are for businesses and professionals, not children. We don’t knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we’ll delete it.
11. Changes to this policy
We may update this policy as our practices change. We’ll post the new version here with a new effective date, and for significant changes affecting clients we’ll let you know directly.
